Optimize Business Operations Through SharePoint

Driving corporate progression on a local and global scale through SharePoint's leading collaboration and documentation features.

Most people are aware of the power of SharePoint when utilizing it for Document Management. In truth, for a small office equipped with Office 365 and SharePoint, a separate file server becomes unnecessary, for SharePoint can meet all your needs. However, SharePoint’s potential goes beyond just catering to small businesses. I’ve successfully implemented this comprehensive toolset in large-scale enterprises that required not merely document management abilities, but a unified solution for all their internal communication needs.

My experience with SharePoint:

SharePoint has been an essential tool in my work at General Informatics, as well as at my previous role at IBML, an imaging and information management firm based in Birmingham, Alabama with additional locations in the US, Germany, and the UK. I mention IBML specifically to highlight the valuable and productive role SharePoint played in our international collaboration efforts. Given our global operations, staying informed about all ongoing activities would have been a daunting task without SharePoint’s robust communication and collaboration features. Its flexibility enabled us to seamlessly distribute information across the company, regardless of geographical limitations.

Using my time at IBML as an example, the ease of international collaboration could not have been any simpler. With our operations spread over several countries at IBML, SharePoint emerged as the linchpin of combining our teamwork efforts. The platform’s inherent flexibility and robust feature set allowed us to seamlessly share information, facilitate discussions, and coordinate tasks across borders.

A look into how SharePoint transformed our international collaboration:

Centralized Information Hub

SharePoint served as our primary destination for documents, files, and valuable data. Whether it was project plans, regulatory documents, or financial reports, SharePoint provided a secure and organized space for us to store, access, and update information. This centralization eliminated the confusion of scattered documents and ensured that everyone had access to the most up-to-date versions.

SharePoint’s real-time co-authoring feature stands out as a major advantage. Regardless of our team members’ physical locations, we could collaboratively work on documents simultaneously. It has not only streamlined our content creation process but also significantly enhanced productivity.

SharePoint’s integration with Microsoft Teams and other communication tools allowed us to initiate discussions, hold virtual meetings, and exchange ideas seamlessly. This was particularly vital for bridging time zones and ensuring that all team members remained on the same page.

The built-in version control and audit trail features of SharePoint ensured that every change made to a document was tracked and recorded. This not only boosted transparency but also provided a safeguard against accidental data loss or unauthorized alterations.

SharePoint’s custom workflow capabilities enabled us to automate repetitive tasks, such as document approval processes, ensuring that critical procedures were followed consistently and efficiently.

In large organizations, SharePoint becomes the central hub for all internal communication; it serves as an intranet portal, project management platform, and knowledge base. Here is why SharePoint thrives in the enterprise environment:

Scalability
SharePoint’s scalability ensures it can accommodate the needs of even the largest organizations. As the company grows, SharePoint grows with it, offering an adaptable platform for communication, document management, and collaboration.

Integration
SharePoint seamlessly integrates with other Microsoft 365 applications, such as Teams, Outlook, and OneDrive. This integration streamlines workflows and ensures that employees have a unified experience when working with various tools.

Security
Enterprise-level security features in SharePoint safeguard sensitive information and data. Access controls, encryption, and compliance features ensure that data is protected, according to regulatory requirements and internal policies.

Customization
SharePoint’s adaptability allows for extensive customization to match the specific needs and processes of a large enterprise. From branding to custom applications, SharePoint can be tailored to fit the unique requirements of any organization.

While SharePoint’s expertise in document management is recognized by many, its capabilities as an all-inclusive platform for collaboration and communication are equally noteworthy. Whether you’re a small enterprise aiming to optimize operations or a large organization seeking a powerful solution for communication and collaboration, SharePoint serves as a flexible toolkit that can enhance your organization’s efficiency and smart working, regardless of its size or global presence.
